RSVP and Volunteer for Meets

Here is a step by step tutorial on how to register for the meets and sign up to volunteer. Reminder, all families must complete at least 3 volunteer slots (including one mandatory bullpen duty) during the season. If you know your summer schedule, you can go ahead and register for all of the meets and volunteer jobs now. We will also send out reminders as the meets get closer.

  1. Log in to your Swimtopia account https://ccos.swimtopia.com
  2. Click on “Upcoming Events” from the Calendar Menu or scroll down to Upcoming Events on the bottom right side of the home page. On the app, it is found under the members.

  1. Click on “Meet Entry”or “Meet Signup” beside or under theSwim Meet.

  1. Click the edit button underneath your swimmers names.
  2. Indicate for each swimmer whether they will attend or not. You can also leave optional notes for the coaches there too. Click Save.

  1. If you are able to volunteer at that meet, click the Sign Up for Job Shifts button on the next page. Then, select the family member who will be volunteering.

  2. There will be a list of needed volunteer jobs. There is a information "i" that will give you descriptions of the job. They are also listed on the volunteer page on the website. Check off the one you would like, and then save.

Arm Marking

Arm writing is a way for your swimmer to remember his/her events, heats, and lanes.  It also helps meet volunteers and coaches to make sure your swimmer is in the right place at the right time! 

Using the Athlete Check In Sheet, mark their forearm for each of their events: Event #, Heat #, and Lane #. Additionally you can add event length and stroke information using the following abbreviations. 

  • FR = Freestyle
  • BA= Back
  • BR = Breast
  • FLY = Butterfly
  • IM = Individual Medley (Fly, Back, Breast, Free)FRR = Free Relay (All swimmers swim Freestyle)
  • MR = Medley Relay (All swimmers swim a different stroke; 1- Back, 2- Breast, 3- Fly, 4-Free)

If your swimmer is in a relay, you will want to mark their medley position or order as well!

Name on Back

For swimmers 10 and under, please write their first and last name and age on their right shoulder, so meet volunteers can easily identify them and get them to where they need to be.

Meet Essentials

PACKING FOR A SWIM MEET

Swimmer Pack List:

  • Shark Swimsuit, Swim-cap, and Team Shirt
  • At least one pair of goggles (2 pair preferred in case one breaks)
  • At least 2 towels for warm-up and meet
  • Sunscreen
  • Clothes/Coverup to wear between events if preferred
  • A change of clothes if you are going to the after-meet get together
  • Healthy Snacks 
  • Labeled Water bottle
  • Money for concession stand
  • Entertainment: Be prepared to sit around for several hours. Staying awake and alert will help you swim faster, so bring whatever keeps you happily entertained: something to read, pens and paper for coloring, board games, etc. NOTE: items may get wet! Bullpen parents are not responsible for keeping track of these items.


Parent Pack List:

  • Sharpie (to write your child's name and events)
  • Money - The hosting team runs swim meet concessions. Any profits go to support their team.
  • Snacks
  • Sunglasses and/or a hat
  • A portable chair
  • Sunscreen
  • Camera
  • Good cheering voice. Swimmers can hear in the water. The louder the crowd, the more exciting their swim!
